Terms and Conditions for MEDIACE 2026
International UG & PG Medical Conference

1. Introduction
These terms and conditions govern the participation and involvement of attendees, delegates, sponsors, and vendors in MEDIACE 2026, organized by Smt. Kashibai Navale Medical College & General Hospital, Pune. By accessing the conference, registering for events, or engaging in any activities, you agree to adhere to these terms.
The organizing committee reserves the right to update or modify these terms at any time without prior notice. It is your responsibility to stay informed by periodically reviewing the official conference website.
2. Registration and Payment
Participants may register through the official website, by cash payment, or by scanning the provided QR code.
For registration assistance or offline registrations, participants may contact the designated registration coordinator.
Participants are required to provide accurate and complete information during registration. Inaccurate information may result in cancellation without refund.
Online Payment must be made using the secure payment gateway integrated with the website Accepted payment methods include UPI, Net Banking, Credit/Debit Cards, and PhonePe.
How to confirm your registration:
Your registration is official once you receive one of the following from the organizing committee:
For Online/Phone Registrations: A confirmation email or an online invoice sent to your registered WhatsApp number.
For Offline Registrations: A physical hard copy of your payment receipt.
Registration fees are non-refundable and non-transferable except in cases of event cancellation by the organizers.
Late registrations may be subject to additional fees.
Special Considerations:
Institutions registering in bulk may receive a discounted rate. Prior communication with the organizing team is required for institutional bookings.
Participants opting for workshops with limited seats will be admitted on a first-come, first-serve basis.
3. Eligibility
UG and PG Health Sciences Students from recognized institutions are eligible to participate in competitions, workshops, and paper presentations.
Some events may require specific qualifications or prior experience. Eligibility criteria will be outlined on individual event pages.
4. Event Participation
Participants are expected to arrive at the venue at least 30 minutes before the scheduled event time.
Workshop Attendees must follow the safety protocols demonstrated by instructors. Negligence may lead to disqualification.
For paper & poster presentations and symposium, plagiarism checks will be conducted. Any instance of plagiarism will lead to immediate disqualification.
Participants must adhere to the event rules and guidelines shared prior to the event.
The organizing committee reserves the right to make final decisions on disputes or rule violations.
5. Code of Conduct
Participants are expected to maintain a respectful and professional attitude towards fellow attendees, speakers, judges, and staff.
Harassment, discrimination, and inappropriate behavior will not be tolerated and may lead to removal from the event without a refund.
Participants are responsible for the proper use of the conference venue, equipment, and facilities. Any damage caused will be chargeable.
Academic integrity is essential, and fraudulent behavior, including falsifying information, will lead to strict action.
6. Intellectual Property
All submitted abstracts, papers, posters, and presentations remain the intellectual property of the respective authors.
By submitting their work, participants provide MEDIACE 2026 the right to publish and display their work for non-commercial purposes.
Unauthorized copying, recording, or distribution of conference content, including presentations and workshops, is strictly prohibited.
7. Photography and Media Consent
Participants grant MEDIACE 2026 permission to capture photographs, videos, and recordings during the event.
The captured media may be used for promotional, educational, and archival purposes on official platforms including the website and social media channels.
If any participant wishes to opt-out of media coverage, they must notify the organizers in advance.
8. Accommodation
Limited accommodation options will be provided on a first-come, first-serve basis.
Participants are responsible for their own transportation and any additional accommodation expenses not covered by the conference.
Detailed accommodation guidelines will be shared upon confirmation of booking.
9. Sponsorship and Partnership
Sponsors are required to comply with the guidelines outlined in their sponsorship agreement.
Sponsorship Benefits will vary based on sponsorship tiers (Title, Co-title, Associate).
The conference reserves the right to reject sponsorship requests if deemed unsuitable for the event.
10. Liability and Disclaimer
The organizing committee will take all necessary precautions to ensure a safe and secure environment. However, participants attend at their own risk.
MEDIACE 2026 is not liable for any personal injury, loss of property, or damages that may occur during the conference.
Participants are advised to safeguard their belongings and arrange appropriate insurance if necessary.
11. Health and Safety
Participants must follow any health guidelines provided by the venue, which may include mask-wearing, sanitization, or social distancing.
First aid services will be available at the venue for emergencies.
12. Privacy Policy
Personal data collected during registration will only be used for conference management and communication purposes.
No personal information will be shared with third parties without the participant’s consent, except as required by law.
13. Refund and Cancellation Policy
No refunds will be provided for cancellations made by participants.
In case of conference cancellation due to unforeseen circumstances, participants will be entitled to a partial or full refund.
Refund decisions will be communicated within 30 business days of the cancellation notice.
14. Dispute Resolution
Any disputes arising from these terms and conditions will be resolved through good faith negotiations between the parties.
If no resolution is achieved, disputes will be subject to the jurisdiction of the courts in Pune, Maharashtra, India.
